MicroSystems Automation Group (MSAG) is looking for a Management Analyst to work at the U.S. State Department in the Office of Management Policy, Rightsizing and Innovation (M/PRI). 

Management Analyst 
The Department of State’s Enterprise Data Quality Initiative (EDQI) coordinates efforts to standardize data, enhance data governance, and manage complex projects to improve the efficiency and effectiveness of Department operations; activities in the EDQI portfolio include the Application and Data Coordination Working Group (ADCWG) and Electronic Records Management Working Group (ERMWG).  The incumbent will provide the full range of project management and program analysis services in support of M/PRI’s initiative. 
The incumbent will work on a mixed team of contractor and direct-hire personnel and requires knowledge of the Department of State’s hierarchy, bureaus, and operations.  Interaction will include offices and bureaus in the State Department, as well as other USG agencies or private sector entities as needed.
Specific Duties and Responsibilities:

Manages taskings from the Staff Director, tracking the status of each and providing reminders. Maintains an understanding of the roles of each Innovation office employee. Has comprehensive knowledge of the requirements for official document preparation, and clearance. Develops a good working knowledge of the overall organizational structure of the Department of State, M, and bureaus and offices with which the M/PRI Innovation office frequently communicates.
Establishes and manages an unclassified electronic filing system for the office on the office server and also on the office SharePoint site. Ensures that staff work products and submissions from outside the office are properly labeled, identified and filed. Establishes and manages archives of retired files. Manages classified folders, electronic files and classified security containers, keeping records of classified file contents, safe combinations, security inspections and other classified information management issues.
Responds to inquiries from within and from outside the M organization concerning the status, location, subject matter, deadlines and processing procedures for formal taskers. Maintains schedule and basic status of ongoing interaction with various other offices in the Department and some overseas entities.  Creates and maintains briefing materials to be used by Senior Executives.  Prepares Senior Executives for meetings as necessary.
Reviews outgoing documents for proper format, consistency, grammatical accuracy, completeness and clarity, making the necessary corrections or returning to the drafter for changes. Advises staff of overdue items, upcoming deadlines and priority of issues. Attends meetings and takes notes, provides summary minutes if requested. Schedules meetings and manages electronic calendars for the Staff Director and Senior Analyst. Assists with air ticketing arrangements, visa applications, travel voucher submissions and other travel-related tasks for the Innovation Office.

Position Requirements:
  • Master’s degree plus three to five years of professional experience
  • Experience with records management and information governance
  • Highly developed skills in MS Office Suite
  • Excellent oral and written communication skills, able to prepare and deliver MS PowerPoint briefings to executive and working level groups
  • Prior experience working in Foreign Policy related agencies or organizations a plus
  • Must have a Secret Level Clearance
